About HBL:
Hawai‘i Bicycling League (HBL) is a 501(c)(3) nonprofit organization with a mission to enable more people to ride bicycles for health, recreation, and transportation through advocacy, education, and events. HBL produces some of Hawai‘i’s largest bicycling events, advocates for safer streets, and provides education that empowers thousands of riders each year.
Position Summary:
HBL is seeking a motivated and organized professional to join our team as either Events Director or Events Coordinator, depending on experience and qualifications. The position is based at HBL office in Kaimuki.
This role is central to the success of HBL’s events, including the Honolulu Century Ride (last Sunday in September), Hale‘iwa Metric Century Ride (last Sunday in April), Annual Benefit Dinner (spring), Bike Month (May), and others. Many of these events have been in existence for 30+ years and are core to HBL’s organizational success.
The Events Director will lead the strategic planning, coordination, and execution of all major and small-scale events, managing event budgets, timelines, staff, and volunteers to ensure each event reflects HBL’s mission and achieves participation and fundraising goals.
The Events Coordinator will support event planning and implementation, handling key logistics, volunteer coordination, and participant communications to ensure smooth and successful events, under the guidance of the Executive Director while developing the skills and experience to take on greater leadership responsibilities.
Key Responsibilities (Director & Coordinator):
Event Planning & Execution
- Plan, organize, and manage all event logistics from concept through completion.
- Coordinate permits, vendors, supplies, registration systems, and event-day operations.
- Support event marketing and outreach to grow participation and community engagement.
- Conduct post-event evaluations to identify improvements and celebrate successes.
Volunteer & Team Coordination
- Work with staff to recruit, train, and supervise volunteers for registration, logistics, and support roles.
- Collaborate with staff and committees to ensure a positive, mission-driven event experience.
- Build strong relationships with community partners and participants.
Budget & Administration
- Assist in creating and tracking event budgets.
- Manage contracts, expenses, and payments for vendors and suppliers.
- Maintain event data and documentation for future planning.
- Build sponsor relationships and identify funding opportunities.
Marketing & Communications
- Contribute to the development of promotional materials, email campaigns, and social media content.
- Ensure consistent event branding and participant communication.
- Support sponsor recognition and post-event communications.
Additional Responsibilities (Director Level):
- Lead the strategic vision and annual event calendar for HBL.
- Develop and manage comprehensive event budgets and financial reporting.
- Secure and steward event sponsors and partners.
- Supervise and mentor event staff, contractors, and volunteers.
- Oversee marketing and communications strategy in collaboration with HBL’s leadership team.
- Represent HBL at community meetings, media engagements, and partner events.
- Serve as primary liaison to the Events Committee and Executive Director.
Qualifications:
For Both Levels:
- Experience in event planning, project coordination, or related work.
- Strong organizational skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to manage multiple projects with competing priorities.
- Proficiency with standard office software (Word, Excel, Google Suite).
- Ability to work flexible hours, including evenings and weekends.
- Ability to lift up to 50 lbs and perform event setup/takedown tasks.
- Valid driver’s license.
Additional Qualifications for Director Level:
- Minimum 3–5 years of professional experience in event management or nonprofit operations.
- Proven success leading large-scale community or fundraising events.
- Demonstrated project management and leadership skills, including delegation and team supervision.
- Experience developing and managing budgets and sponsor relationships.
- Familiarity with digital marketing, CRM systems, and online registration platforms (e.g., WebConnex).
- Bachelor’s degree in communications, business, event management, or related field (preferred).
Preferred (Both Levels):
- Experience with tourism or sports travel, with a focus on Japanese travelers.
- Knowledge of Hawai‘i’s community and outdoor recreation landscape.
- Active interest in bicycling or sustainable transportation.
Compensation & Benefits:
- Full-time, exempt position.
- Title and salary commensurate with experience and qualifications (Director vs. Coordinator level).
- Coordinator starting at $45,000/year, Director starting at $55,000/year
